Identification Requirements

A current ID or one issued within the past 5 years is required. The ID must be issued by a state or federal government agency, include a photo, physical description, signature, and serial number.

Primary Acceptable IDs:

  • California Driver’s License or California Identification Card
  • U.S. Passport (book or card)
  • Driver’s License or Official ID Card issued by another U.S. state
  • U.S. Military Identification Card (must include all required elements)
  • Inmate Identification Card issued by the California Department of Corrections and Rehabilitation (for inmates currently in custody)
  • Employee Identification Card issued by a California city, county, or public agency

Foreign Identification (Accepted in CA):

  • Foreign Passport (must be stamped by U.S. Immigration and valid)
  • Driver’s License issued by a foreign government authority (must contain photo, description, signature, and serial number)

⚠️ Important Notes:

  • Expired IDs are not valid unless they were issued within the last 5 years.
  • Social Security cards, birth certificates, and credit cards cannot be used as ID for notarization.
  • If the signer has no valid ID, California allows the use of two credible witnesses who know the signer personally (both must have valid ID themselves)

Documents that often require notarization

  • Consent for Minor to Travel
  • Adoption Papers

Real Estate & Property Documents

  • Deeds (Grant Deed, Quitclaim Deed, Warranty Deed)
  • Deed of Trust / Mortgage Documents
  • Loan Modifications
  • Lease Agreements (in certain cases)
  • Property Transfers

Financial & Business Documents

  • Loan Agreements
  • Promissory Notes
  • Contracts and Affidavits
  • Business Formation Documents (LLC, Corporation filings)
  • Vendor or Service Agreements

Legal Documents

  • Court Documents (affidavits, sworn statements)

  • Probate Forms

Miscellaneous Documents

  • DMV Forms (e.g., Certificate of Non-Operation)

⚠️ Important Note:

  • Not all documents need notarization — it depends on the requirements of the receiving agency, lender, or court.
  • As a notary, I cannot advise which documents require notarization (that would be legal advice). Always check with the requesting party.
